Accounting Assistant / Receptionist

Support daily front office, reception and accounting activities 

Job Brief:

The Receptionist/Accounting Assistant is responsible for the day to day front office and reception activities and assisting the Accounting Supervisor in the daily activities associated with all general ledger functions to include AR, AP, general ledger and reconciliations.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Answer the telephone and direct callers to appropriate associate
  • Take and retrieve messages, as required
  • Greet and direct visitors to company, ensure sign-in and issuance of badges
  • Receive, sort, and forward incoming mail
  • Assist in ordering, receiving, stocking and distribution of office supplies
  • Perform accounts receivable functions, bank deposit transactions and collections
  • Prepare vendor payments by verifying documentation, and requesting disbursements
  • Maintain customer confidence and protects operations by keeping financial information confidential.
  • Reconcile records internally and with external vendors or customers
  • Recommend actions to resolve discrepancies
  • Investigate questionable data
  • Perform related duties as assigned by supervisor
  • Maintain compliance with all company policies and procedures

KNOWLEDGE, SKILLS AND/OR ABILITIES REQUIRED:

  • A minimum of 3 years of reception and accounting experience
  • Associates degree and relevant certification is a plus
  • Competency in accounting software and databases, as well as MS Office Products
  • Detail and fact oriented, results focused
  • Ability to organize and prioritize tasks as well as the office environment
  • Customer service focus
  • Excellent verbal and written communication skills
  • Self-motivated with the ability to work in a fast paced environment

  • Understanding of processes within ConnectWise

PHYSICAL REQUIREMENTS:

  • Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.
  • Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards
  • Must be able to lift and carry up to 15 lbs
  • Must be able to talk, listen and speak clearly on telephone
